About the Project
Project Overview
The Defence Asset Management System (DAMS) is an enterprise-grade, geospatial-enabled platform that centralizes the full lifecycle of defence materiel, public infrastructure, land reserves, buildings, and military equipment. It is the single authoritative system of record for asset identification, physical location, custody transfers, maintenance history, security classifications, and disposal — built with Geo-Intel Lab · IITTNiF to replace paper registers and fragmented spreadsheets with a tamper-evident digital architecture.
Problem Statement
Asset records lived in localized paper logbooks and disconnected Excel files, causing duplicate registrations across depot ledgers, missing technical metadata (NSN codes, ordnance part numbers, warranty dates), opaque custody ownership, untracked maintenance history, and spatial blind spots on where equipment actually sits. Statutory command audits took weeks of manual aggregation, and Commanding Officers lacked real-time readiness figures for deployed materiel.
Solution
A centralized, web-based, role-governed platform that digitizes every stage of the asset lifecycle: a standardized registration form with a mandatory two-phase command approval (PENDING_APPROVAL → AVAILABLE / REJECTED), a governed requisition and custody-assignment engine, a structured maintenance ticket lifecycle with condition scoring, a Leaflet GIS map with DigiPin location codes, JWT role-based access control, and an immutable security audit trail for regulatory compliance.
Target Users
- Defence System Administrators
- Asset Control Officers
- Commanding Officers
- Technical Maintenance Officers
- Authorised Personnel
Roles & Command Hierarchy
Role-governed platform with JWT authentication and strict separation of duties. Chain of command: Defence System Administrator → Commanding Officer → Asset Control Officer → Technical Maintenance Officer · Authorised Personnel.
Defence System Administrator
User accounts, role assignments, global configuration, and security audit-log inspection.
Asset Control Officer
Asset registration, invoice / inspection uploads, requisition review, and custody assignment.
Commanding Officer
Executive approving authority — clears the PENDING_APPROVAL queue or rejects with remarks.
Technical Maintenance Officer
Work orders, repair lifecycle (REQUESTED → IN_PROGRESS → COMPLETED), and condition scoring.
Authorised Personnel
Submits requisitions against AVAILABLE assets, holds active custody, and reports faults.
Key Features
Centralized Materiel Registry
NSN / ordnance part codes, financial book values, warranty expiry, inspection schedules, and PDF / photo evidence for every asset.
Command Approval Workflow
New materiel stays PENDING_APPROVAL until the Commanding Officer formally reviews it — approve to AVAILABLE, or reject with mandatory remarks.
Custody Requisitions & Handovers
Governed requisition pipeline binding each asset to a service number and unit (AVAILABLE → ASSIGNED).
Maintenance & Work Orders
Structured repair intake REQUESTED → IN_PROGRESS → COMPLETED with condition scoring from EXCELLENT down to DAMAGED.
Geospatial Mapping & DigiPin
Leaflet map of real-time asset markers with district filtering and high-accuracy DigiPin location codes.
Security Audit Logging
Immutable event trail capturing actor IDs, actions, entity references, and full JSON state payloads for statutory compliance.
